The meeting was opened by the Club President at 8:00pm.

(1) Minutes of the previous AGM on 29th May 2019 – Secretary
The minutes of the previous AGM were accepted. Proposed by Andy Peach and seconded by Mike Head. Unanimously approved.

(2) Management Committee Report – Chairman
The biggest issue for the club is currently COVID 19 and the fact that the club has been closed since March, with the associated lack of participation in rugby and the associated revenue loss.
In addition major improvements are required to re-build the changing rooms and replace the flat roof.
The volunteers in the club have made the club much stronger than it was a few years ago and compared to other clubs
There were some issues with senior rugby but a new team management was put in place mid-season and the team finished the strongly. The 1st XV were relegated from Level 6 to Level 7.
Committee meetings could have been better attended and actions completed on time however corrections are being put in place to improve this for the next season.
Steve Patrick has been co-opted onto the committee as the Operations Manager

(3) Financial Report – Treasurer
The Treasurer gave an overview of the main cost drivers in 2019
65th Anniversary Lunch
Fireworks
Summer Ball (which was cancelled)
Rugby Spend
Profit of £12k – the lower profit compared to 2018 is due to a shortfall in the Summer Ball and the Fireworks and the increase in rugby spend.
£10k grant was received in the April 2020
Some concern over the cash into the club due to possible delays in subscriptions

Adam Sharples hasn’t been elected as president by the vice presidents as the vice presidents haven’t had an opportunity to meet.


(4) Election of Officers to the Committee for the following year- President
The Chairman thanked last year’s Club Committee. The following members were then elected as Officers on the Management Committee for the following year.

There were no other motions for consideration.

(6) Any Other Business
Senior Fixtures
Initial fixtures released today, the format is fairly complex and is dependent upon when community rugby is allowed to be commence.
Income
The committee are monitoring very closely the start of the season before deciding at what rate to charge subscriptions. One option is to charge a full year’s subscription but recognise there will be a delay in the start to rugby. The club recognises that there is a shortfall in revenue and so has cut expenditure unnecessary such as maintenance to the pitches

Return to Rugby
When can the other teams return to rugby? The seniors have trialled the RFU Return to Rugby stage B and have their first official training session on 16th July. If that goes according to the RFU guidelines, the committee will roll out a risk assessment to the individual teams, the individual teams will present their completed risk assessment to the Rugby Manager and then if the committee are happy with the individual team’s risk assessment a rota of training will then be issued.

Andy Peach has to buy the first round for disappearing during the meetings and leaving a pillow with glasses as his proxy.
