Mini & Youth Teams Terms & Conditions

Terms and Conditions of Ruislip Minis and Youth, a section of Ruislip Rugby Football Club Ltd, a registered society under the Co-operative and Community Benefit Societies Act 2014 (RFU, MIDDLESEX RFU AND LSRFUR) No 31001R.

Responsibilities of Parents, Coaches, Managers and Helpers

Coaches, Team Admins and Helpers cannot take legal responsibility or act in loco parentis for players whose parent or guardian leaves them during a session.

Gumshields / Mouthguards / Protective Equipment and Studs

Ruislip Minis and Youth Rugby considers gumshields mandatory for contact rugby (U9 and above). Players will not be allowed to take part in training sessions or matches if not wearing a gum protector/shield. All other safety equipment must carry the ‘IRB approved’ label. Studs with jagged edges pose a serious danger to other players. Only studs conforming to BS6366 1983 or equivalent are allowed. Studs should be examined regularly to ensure there are no missing studs or rough edges.

Severe Weather Clothing

Parents or guardians are responsible for ensuring players come adequately equipped to cope with the weather conditions that can occur during the winter months. Parents or carers should provide additional clothing, gloves, hats and waterproof equipment.

Tetanus Injection

Middlesex RFU recommend that, if not already done so, players should have a preventative course of tetanus injections.

Players Under 18 years old 

Ruislip Minis and Youth is not a crèche. Every player under 18 should be accompanied to training and matches by a Parent, Guardian or Carer. Any player of this age who is found without a Parent, Guardian or Carer on the premises will be stopped from training during that session and the matter brought to their parent/guardian’s attention. If repeated the child and parent/guardian will be asked to leave the club for the remainder of the season, with the option of rejoining the following season.  The Club is not able to offer training to a child who has not reached their 5th birthday on 1st September of the current season.

Medical Consent

Should a Parent or Guardian not be present when a child suffers an injury then you consent to your child being taken to Hospital and receiving medical treatment if this, in the opinion of a Coach or qualified First Aider, is considered the appropriate action.

Child Protection

All coaches, helpers and administrators will be checked through the Disclosure and Barring Service as a condition of joining Ruislip Minis and Youth Rugby. Failure to agree to this requirement will automatically lead to their application for membership being rejected. Any suspicious incident must be reported immediately to the Safeguarding Officer and/or Chairman.

Management and Coaches

The operation of Ruislip Rugby Football Club Ltd is governed by the Rules of the Club. Ruislip Minis and Youth Rugby is run by the Club Committee in consultation with coaches and volunteers. Parents, guardians or carers are encouraged to raise any issue with the Club Committee. Head Coaches are to be supported in their leadership of their age group. Any issues regarding a child (health, attendance, etc) should be brought to the Head Coach’s attention. Membership does not guarantee selection, which is the responsibility of the age group coaching team and is dependent upon a number of factors including perceived ability, behaviour, safety, availability and attendance. Head Coaches have the final say in selection matters and organization of the age group. Parents should accept the selection policy and must accept the decisions of Head Coaches graciously. Any member of the Committee may be consulted should a parent have any issue with a coach.

Behaviour

Players, coaches and supporters of any Ruislip RFC team are expected to uphold the traditions of the game in terms of behaviour and generosity to all players and the officials. Specifically, players and supporters must not question the decisions of match officials. Swearing and abuse is specifically discouraged. Players, coaches and parents will be reprimanded for foul language and inappropriate behaviour, which may result in expulsion from the club. Codes of conduct are published on the Club website.

Fees

Parents or guardians must promptly pay for membership fees. Failure to pay registration fees within 60 days of joining or of the start of the season will lead to the suspension of membership of Ruislip Rugby Football Club Ltd. In cases of difficulty in paying the fees, please consult the Membership Secretary or Chairman.

Club Premises

Parents and guardians are responsible for their children at all times. No one will be allowed into the bar area in dirty clothing and boots must be removed before entering the Clubhouse. Changing facilities and showers are available. Entry will be refused at Ruislip RFC’s discretion. Whilst on club premises all club members are expected to behave courteously to fellow users of the Club and members of the public using the pitch area. Parents and guardians are responsible for their child’s safety on club premises and should acquaint themselves and their child with hazards.

Smoking

Ruislip Rugby Football Club Ltd has banned smoking within the Clubhouse. Furthermore, smoking near children is discouraged and specifically coaches are asked not to smoke whilst coaching or training.

Club Support and Communication

Ruislip Minis and Youth is a volunteer organisation. All parents and guardians are expected to support the club by actively participating in the functioning of the club. Parents must notify their Team Admin of any changes to their email, phone number and home address and update their GMS registration.

Photography

By registering with the club, parents are giving permission for photos taken within the Clubhouse or on the pitches to be published within the club or on its websites and social media. If you have specific objections, then please raise your concerns with the Team Admin, Safeguarding Officer or Chairman. Parents taking photographs of their own children should not share these on social media where other children are shown in the image.

Amendments
